At Olas Group Oy, it is important to us that you can use our services with confidence — trusting that we protect your privacy.

The detailed content of our services is available on our company website or directly from our staff. In connection with our services, we may in certain situations store your personal data — for example, when you send a contact request or download a brochure.
This privacy statement explains in more detail how we process your personal data.

You may obtain the following information upon request:

  • What kind of data we process
  • For what purposes we use the data and what is the legal basis for processing
  • How long we retain the data
  • What rights you have
  • Where the data is transferred
  • To whom the data is disclosed
  • How the data is protected
  • Whether this privacy statement can be amended
  • How to contact us

1. WHAT DATA WE PROCESS

We typically collect the following information:

Customer data (consumer): name, email address, phone number, address details, messages, feedback and contact requests, direct marketing consents and prohibitions.
Customer data (business): company, contact person’s name, email address, phone number, address details, messages, feedback and contact requests, direct marketing consents and prohibitions.

We receive your data directly from you via a form or other contact.

2. PURPOSES AND LEGAL BASES FOR PROCESSING

We process personal data on the following legal bases, derived from data protection legislation:

Provision of services: We process the information you provide to fulfill the agreement for the service you have ordered. We cannot process assignments, invoice our services, or stay in contact with you without processing personal data. When collecting data, we strive to inform you which data are necessary to fulfill the agreement and which you may provide voluntarily. In this case, the processing is based on the performance of a contract.

Marketing: We may process your data based on your consent in order to send you direct marketing messages via electronic channels. Based on our legitimate interest, we may also use your data for marketing by phone or mail, or for marketing targeted according to professional role.

Legal obligations: We may be required to retain some personal data to comply with accounting or other mandatory legislation even after the customer relationship has ended. In such cases, processing is based on compliance with legal obligations.

3. DATA RETENTION PERIOD

We generally retain personal data for 10 years after your most recent assignment or visit.
This retention period is based on Section 19, Chapter 2 of the Finnish Housing Transactions Act (Asuntokauppalaki)

After this period, we delete unnecessary data and process personal data for marketing purposes only as long as you have not opted out of receiving marketing messages. If you opt out and no other legal basis for processing remains, we will retain only your contact details and information about your opt-out to ensure compliance with it.

We aim to keep personal data accurate and up to date by deleting unnecessary data and updating outdated information. You can also influence the retention period yourself — for example, by requesting deletion of your data.

We comply with all statutory obligations regarding data retention.

4. RIGHTS OF THE DATA SUBJECT

You have several ways to influence the collection and processing of your data:

  • Right of access, rectification, and deletion: You have the right to access your stored personal data. Upon request, we will correct, supplement, or delete any inaccurate, incomplete, or outdated data.
  • Right to data portability: You may request to have the personal data you have provided — and which we process automatically based on consent or contract — transferred to another controller by contacting our representative or customer service.
  • Right to object to direct marketing and profiling: You may at any time prohibit the disclosure and processing of your data for direct marketing purposes.
  • Right to object or restrict processing: You may object to processing based on legitimate interest due to personal reasons. For example, processing may be restricted while such an objection is being evaluated. Processing may also be restricted if you dispute the accuracy of your data, until we verify it.
  • Withdrawal of consent: You may withdraw your consent at any time by contacting our representative or customer service, or by other separately provided means.
  • Right to lodge a complaint: You may lodge a complaint with a supervisory authority if you believe your data has been processed contrary to this privacy statement or applicable law.

5. DATA TRANSFERS

We use subcontractors to process data and ensure through contractual arrangements that data is processed in compliance with current legislation.

Some of our partners may be located outside the EU or EEA. If data is transferred outside these areas, we ensure an adequate level of data protection by, for example, entering into agreements on confidentiality and data processing as required by law.

6. DATA DISCLOSURES

  • Authorities: We may disclose your personal data to competent authorities as required by current legislation.
  • Consent: We may disclose your data to third parties if you have given your consent.
  • Corporate transactions: If we sell, merge, or otherwise reorganize our business, your personal data may be disclosed to buyers and their advisors.
  • Debt collection and legal claims: We may disclose personal data to third parties if necessary to enforce agreements, collect receivables, investigate breaches, or prepare, present, or defend legal claims.

7. DATA SECURITY

We use appropriate technical and organizational security measures to protect personal data against unauthorized processing. Such measures include the use of firewalls and encryption technologies, access control, limited user rights, staff training, and careful selection of subcontractors.

8. CHANGES TO THIS PRIVACY STATEMENT

We continuously develop our services and may update this privacy statement accordingly. Changes may also result from legislative updates. We recommend reviewing the privacy statement regularly.
